Policies & Procedures
If, after looking through our Vacation Rental Cottages you find one that suits your needs, call or fill in the Reservation/Information form. If you have specific dates in mind we recommend you contact us as soon as possible, to insure availability. Note: Rentals begin and end on Fridays. If you are looking for more information or general availability you may contact us by phone or email. We will respond to your email as quickly as possible. However, you must call us at (616) 836-4546 or (269) 857-4771, if you wish to make a reservation. We do not make reservations via the internet. When we finalize your reservation we will let you know if a security deposit is required. Your deposit must be received within 7 days to confirm your reservation. If we do not receive your deposit we will cancel the reservation and may rent the Cottage to someone else.
Upon reservation, your cottage is considered “Sold in Advance”. Cancellations made more than sixty (60) days in advance of the rental date will result in return of the rental deposit. If you cancel with less than sixty (60) days notice there will be no refund of the deposit.
› Security Deposit
For weekly rentals a damage/cleaning security deposit will be required. This deposit will be refunded at checkout provided no damages have occurred or extra cleaning is required. If damage or cleaning charges are required, they will be deducted from your security deposit. Charges in excess of your security deposit may be charged to your credit card. Any balance due will be returned by mail within 30 days of your departure.
› Checking In & Out
Check-in is between 3:00 pm and 8:00 pm, Eastern Standard Time, the day your stay begins. Check-in arrangements must be made in advance by calling (616) 836-4546 or (269) 857 4771. Check-ins after 8:00 pm must be arranged in advance and the renter will be charged a $25.00/hour late check-in fee. If the rent payment is made in advance no late fee will be charged.
Rental balances due and security deposits will be collected at the time of check-in. A money order, certified funds or cash is required. Personal checks or credit cards will not be accepted. The balance due must be paid before occupancy - no exceptions will be made.
Checkout time is 10:00am on the day of your departure. Unless prior arrangements are made, late checkout charges will be pro-rated against the daily rate, with a minimum charge of $50.00. Charges will be deducted from your security deposit. Charges in excess of your security deposit may be charged to your credit card. If you have paid a damage/cleaning or pet security deposit you should call management 30 minutes prior to checkout to arrange for inspection of the property and return of the deposit. You should call 616 836-4546 (if no answer, please call 616 886-6829) and arrange return of the key before you leave.
Prior to your arrival, the home/cottage is cleaned and set up with basic paper products and cleaning supplies. The renter is to supplement these as necessary and maintain the property in a clean and sanitary condition at all times. When the renter checks out, the property should be in the same condition as it was found i.e. dishes washed, floors swept, grill cleaned, trash placed in the provided containers, etc. If upon inspection, extraordinary cleaning is required, the cost will be deducted from the security deposit.
> Pet Requirements
If you wish to bring a pet you must make arrangements in advance of your arrival. A separate pet damage/cleaning security deposit may be required at the time of check-in. The renter must also bring a crate or kennel with them and agree to secure their pet in it whenever the pet is left alone in the rental. Pets are not allowed on any furniture in the rental. Upon checkout a walk through inspection will be conducted. If there are no damages or extra cleaning required, the damage deposit will be returned less a nominal fee for the pets’ stay. Any charges for damage and/or extra cleaning will be deducted from the security deposit. Charges in excess of your security deposit may be charged to your credit card. Any balance due will be returned by mail within 30 days of your departure.
› General Information
- Smoking is prohibited inside all rental properties.
- Your rental fees only allow sleeping for a specific number of people. This number may not be exceeded. Violation of the above two policies may result in immediate eviction, with no refunds and forfeiture of all security deposits.
- Comforters, blankets and pillows are provided. Bed linens and towels are also provided. Beach towels are not provided and should be brought by the renter. Bed linens and towels are not to leave the rental property.
- Most rental properties do not have telephones. A cell phone is recommended. Internet access is available in some Cottages. There are a number of internet sites available in downtown Saugatuck.
